Our service committee is going to have many new positions that need filling. That's where you come in! Below are the positions that are vacant, just ready for the taking. Don't worry if you don't fully understand the responsibilities that come with each position; someone who has done it before will help you figure it out. And remember that the service committee is just made up of a bunch of drunks! We're no different, better or smarter than anyone and we'd love to have you aboard.

Grapevine/Here’s How Liaison – Suggested minimum length of sobriety: 6 months.  Elected by simple majority.  Acts as the liaison between service committee and Grapevine/Here’s How. Attends all Grapevine/Here’s How Monthly committee meetings as scheduled.  Informs the Grapevine/Here’s How Committees of upcoming committee events.  Ensures that Grapevine/Here’s How subscriptions are available for purchase at committee events.  Encourages participation and submissions to Grapevine and Here’s How.

 

12th Step Call Co-Chair – Suggested minimum length of sobriety: 1 year.  Elected by simple majority. Acquires knowledge of how to carry out the duties of the 12th Step Call Chair.  Carries out various duties assigned by the 12th Step Call Chair.  In the absence of the 12th Step Call Chair, accepts full duties of the 12th Step Call Chair.  If the 12th Step Call Chair’s position is vacated for any reason, the 12th Step Call Co-Chair will immediately rotate into the position of 12th Step Call Chair for the duration of the term.

 

Transportation Co-Chair - Suggested minimum length of sobriety: 1 year.  Elected by simple majority. Acquires knowledge of how to carry out the duties of the Transportation Chair.  Carries out various duties assigned by the Transportation Chair.  If the committee elects to bid for ICYPAA, this person will be responsible for researching transportation options and costs to the attendee (e.g., flights, buses, trains)  to and from major cities to Chicago for inclusion in the bid book. Suggested this person has access to a car. In the absence of the Transportation Chair, accepts full duties of the Transportation Chair.  If the Transportation Chair’s position is vacated for any reason, the Transportation Co-Chair will immediately rotate into the position of Transportation Chair for the duration of the term.

 

Set Up / Clean Up Co-Chair – Suggested minimum length of sobriety: 30 days.  Elected by simple majority. Acquires knowledge of how to carry out the duties of the Set Up/ Clean Up Chair.  Carries out various duties assigned by the Set Up/ Clean Up Chair.  In the absence of the Set Up/ Clean Up Chair, accepts full duties of the Set Up/ Clean Up Chair.   If the Set Up/ Clean Up Chair position is vacated for any reason, the Set Up/ Clean Up Co-Chair will immediately rotate into the position of Set Up/ Clean Up Chair for the duration of the term.

 

Member At Large – Must have desire to stop drinking. Members at Large are not elected, they are recognized after stating their desire to be a Member at Large and having furnished their name to the Secretary. Members at Large are entitled to vote and participate.

Bid Requirement Coordinator - Suggested minimum length of sobriety: 1 year.  Elected by simple majority. Ensures that all bid requirements are fulfilled in accordance with the current Bid Requirements for the applicable YPAA conference. Works closely with Chair, Co-Chair and Bid Book Editor to establish a timeline to ensure bid requirements are met and bid book is submitted to the conference Advisory Council properly and on time. Works with Chair and all committee chairs to get appropriate information to Bid Book Editor per the timeline.  Must be a former member of a prior YPAA bid committee.  Also serves on the Bid Book subcommittee.


Bid Facilities & Hotel Co-Chair - Suggested minimum length of sobriety: 3 years.  Elected by third legacy voting procedure. Assists Hotel Chair in negotiating Group Service Agreements (GSAs) per the conference bid requirements.  Shall represent committee in a professional and responsible manner.  Acquires knowledge of how to carry out the duties of the Bid Facilities Chair.  Carries out various duties assigned by the Bid Facilities Chair.  In the absence of the Bid Facilities Chair, accepts full duties of the Bid Facilities Chair. In the event the Bid Facilities Chair's position is vacated for any reason, the Bid Facilities Co-Chair will immediately rotate into the position of Bid Facilities Chair for the duration of the term.

Bid Program Co-Chair - Suggested minimum length of sobriety: 2 years.  Elected by simple majority. Working closely with Program Chair and Hotel Chair, researches and provides at least two quotes for audio-visual equipment and services that coincide with the committee's tentative conference program, budget, and dates at each facility. A/V bids must include line-item costs of equipment, labor, and transportation, as well as needs from the hotel and host committee (insurance, parking, lodging, etc.). Will work with Bid Book Editor and Program Chair to ensure A/V quotes are accurately included in the bid book per the timeline established by the BRC.  Acquires knowledge of how to carry out the duties of the Bid Program Chair.  Carries out various duties assigned by the Bid Program Chair.  In the absence of the Bid Program Chair, accepts full duties of the Bid Program Chair.  In the event the Bid Program Chair's position is vacated for any reason, the Bid Program Co-Chair will immediately rotate into the position of Bid Program Chair for the duration of the term.

Bid Book Editor - Suggested minimum length of sobriety: 2 years. Elected by simple majority.  This is a time intensive position. Has access to computer with appropriate digital technologies (knowledge of Adobe InDesign or equivalent highly recommended). Works with committee chairs and BRC to compile all necessary materials for Bid Book. Works with AGP Chair to produce final copy of the bid book. Will work with BRC to ensure all bid requirements have been met. Is responsible for copyediting book for grammar, spelling and typeset issues. Will act as liaison with printer to ensure accurate reproduction of final bid book. Will head up a subcommittee consisting of the Chair, Co-Chair, AGP Chair, AGP Co-Chair, BRC and anyone else they choose to appoint. Will keep full committee informed about discussions and actions taken at subcommittee meetings. Is responsible for mentoring and developing the role of Bid Book Assistant Editor.


Bid Book Assistant Editor - Suggested minimum length of sobriety: 2 years. Elected by simple majority. Has access computer with appropriate digital technologies (knowledge of Adobe InDesign or equivalent highly recommended). Is responsible for double-checking the book for grammar, spelling and typeset issues. Is responsible for coordinating transportation of the bid books to the conference. Works with Bid Book Editor to keep committee chairs accountable to the timeline set forth by the BRC. Acquires knowledge of how to carry out the duties of the Bid Book Editor.  Carries out various duties assigned by the Bid Book Editor.  In the absence of the Bid Book Editor, accepts full duties of the Bid Book Editor.  In the event the Bid Book Editor's position is vacated for any reason, the Bid Book Assistant Editor will immediately rotate into the position of Bid Book Editor for the duration of the term.

Bid Presentation Chair - Suggested minimum length of sobriety: 1 year.  Elected by simple majority. Creates bid presentation. Presents least two concepts to the committee to vote on, per a timeline established by the Bid Requirement Coordinator. Works with Treasurer to create a budget for presentation. Will head a subcommittee to organize necessary material resources and people for such presentation, and should keep the full committee informed about discussions and actions taken at subcommittee meetings. Bid presentation should be no longer than 20 minutes, or should adhere to applicable conference requirements. Creative, theater or production experience is useful, but not required. Is responsible for mentoring and developing the role of Bid Presentation Co-Chair.

Bid Presentation Co-Chair - Suggested minimum length of sobriety: 1 year.  Elected by simple majority. Acquires knowledge of how to carry out the duties of the Bid Presentation Chair.  Carries out various duties assigned by the Bid Presentation Chair.  In the absence of the Bid Presentation Chair, accepts full duties of the Bid Presentation Chair.  In the event the Bid Presentation Chair's position is vacated for any reason, the Bid Presentation Co-Chair will immediately rotate into the position of Bid Presentation Chair for the duration of the term. Creative, theater or production experience will serve useful, but not required.

Bid Committee Representative (BCR)/Bid City Liaison - Suggested minimum length of sobriety: 2 years.  Elected by third legacy voting procedure. Will serve as liaison between the committee and other bid cities, promoting unity in the YPAA community and keeping the service committee appraised of relevant bid city events or outreach opportunities.  Position can be held concurrently with another service committee position.


Al-Anon Liaison-– Sobriety/Serenity requirement – 1 year.  Assists in outreach with Al-anon Family Groups.  Should have Al-anon service experience.  Can be either an A.A. or an Al-anon.
 
Outside Service Co. Chair- Sobriety requirement – 1 year.  Works with the Outside Service Chair and assists in his/her responsibilities.  This is not a stand alone position…. Coordinates outside service activities including, but not limited to working with the following committees: HTF (Hospital and Treatment Facilities), CFC (Correctional Facilities Committee), PI/CPC (Public Information/Cooperation with the Professional Community), Grapevine, various conferences/conference committees, etc.  Should have a service background.
 
Arts, Graphics and Print Co-Chair-Sobriety Requirement 3 months-Works with the Arts, Graphics, Print Chair and assists in his/her responsibilities.  This is not a stand alone position…. Will coordinate the designs of the graphics and artwork for committee merchandise, flyers, etc.  Will bring designs to committee to vote on.  Will find different printing companies for bid committee approval.
 
Merchandise Co-Chair – 6 months. Works with the Merchandise Chair and assists in his/her responsibilities.  This is not a standalone position…. Works with the Arts, Graphics, Print Chair, Treasurers, Web Site Chair, to create lines of merchandise to be sold by the bid committee at events, online, and at ICYPAA.
 
Transportation Chair- Sobriety Requirement-9 months: Responsible for researching and arranging transportation in various capacities including but not limited to – transportation to ICYPAA, meeting  outreach, and outside events.  May be expected to include a written section for the bid book.
 
 Transportation Co-Chair-Sobriety requirement-3 months Works with the Transportation Chair and assists in his/her responsibilities.  This is not a standalone position….
 
Co-secretary – Sobriety requirement – 1 year.  Fills in for the Secretary in his/her absence.  Maintains committee member phone and email lists.  Contacts people through email, phone and other means. He or she will have a key and maintain the P.O. Box.  **Highly suggested this person have regular access to a computer and is proficient in Microsoft Office or equivalent.**
 
Website/IT Co-Chair – 3 months.  Works with the Website/IT chair and assists in his/her responsibilities.  This is not a standalone position… Website/IT Chair – Sobriety requirement – 1 year.  Creates a website with all conference, events and email address information within A.A. traditions and GSO guidelines to A.A. websites.  Is responsible for managing/delegating any technical and content issues.  Also is responsible for taking care of miscellaneous committee hardware and software needs.
 
Greeter chair – requirement: previously served The Chicago Bid for ICYPAA committee. Charged with welcoming new members to the committee & help familiarize them with the committee procedures as found in the handbook.  Guides new members to other available service opportunities on the committee.
